Summer Updates

Well so far so good, spring has sprung and summer is finally here. Next thing you know we will be planning for the Christmas rush. I can’t believe the year is going by so fast. Below are some topics we want to bring to your attention, please review and keep up the great work!

Schools out – School is out, vacations are at an all-time high with most people driving to their vacation destination.  What does this mean? More inexperienced younger drivers out on the road, more motor homes, boats being towed, kids out going to the pool, etc. Please remember to do your best in recognizing situations.  Give yourself more room, slow down and be aware of your surroundings.  Be sure to take the necessary precautions during this busy time of year, be very attentive and watch out for kids.

Our accident picture is better than this time last year, we have had nine this year with only four being our fault.  Great news!!

Our on-time performance is up as well.  We are at 99% for on time delivery this year.  We could not do this without you!

We are monitoring the DVIR section each and every day.  If you “write up” a unit, we see it immediately and are able to react quicker in getting the issue taken care of.  This report comes straight to my desk and has been tremendous help in getting repairs turned around quicker.

Fall Meetings – We will be out to see you soon!  Mike and Julie are putting together the schedule and will send out notices in the very near future for the time/date/locations of the fall meetings.  We are trying to schedule your financial and insurance representatives to be there as well.  Please try to attend a meeting near you.

Request for leave – We want to remind everyone that we need as much notice as possible when requesting a day off.  We are in peak vacation season and there are only so many relief drivers available, so please give as much notice as possible.  We understand that things happen but we have to follow the necessary guidelines.  EFFECTIVE IMMEDIATELY:  all requests for leave must be submitted no later than 10 days in advance of the day(s) requested.   We cannot guarantee anytime off requested without this notice.  Please utilize the “Request for Leave” form.   You can pick up a form, we can mail you a form, it can be downloaded off of the website or you can call in and we will fill it out for you.  Whatever method you chose to use, please remember, we need as much time as possible for planning purposes.

Drivers Needed – We are looking for drivers in all locations.  If you know anyone who would make a great team member, give us their contact information and we will reach out to them.  If you make a recommendation and the new employee stays with us 90 days, we will give the person who recommends the driver, a dinner for the family at a restaurant to be determined by your location.

Once again we are on the right track and we know that we could not do this without each and every one of you!  We appreciate your dedication and loyalty to this company.  We look forward to a successful third quarter. Let’s all be careful out there!

Speaking of on-time delivery, we are experiencing something out of the ordinary when it comes to receiving 5500’s (late slip report) from the USPS. They are using the scanners as a mode of tracking late arrivals and departures. Several of these are typically 3-7 minute late arrivals and departures. Be sure to have an expeditor scan your badge and truck as soon as you can. We realize this can be a tough task. If there isn’t anyone available to check you in or out be sure to note it in Loadtrek. We use your message to verify all 5500’s along with the geofence arrival and departures. THIS IS VERY IMPORTANT! If you document the issues at hand when it happens, we have the information to dispute the 5500’s. As of May of this year, we have issued 503 5500’s with just 19% of these being our fault. If we had not had your messages as a verification tool we would have been in the 50% range of chargeable 5500’s. As you can see this is a great way for you to document your day’s events. Also a reminder….USE YOUR PADLOCK AT ALL TIMES. USPS is cracking down on drivers coming into facilities without a padlock. 5500’s are being issued for this and and for also not using the wheel chocks. Always be sure to secure your load and chock your wheels!


The information we receive from you helps run the operation so be sure to utilize the system. You can log on from home to check our schedule by going to drivers.loadtrek.net. Use your user name and password and you can check in for any change to your schedule. If you are a driver out of the Columbus terminal you can use the touch screen monitor in the drivers room the same way. Touch the screen, enter the information and it pops right up. Be sure to enter your trailer number, hit the ‘Arrive’ and ‘Depart’ buttons accordingly, list any route information you want us to know about.

Reminder that payroll is to be submitted by 5PM on Monday of your pay week. Vacation requests need to be submitted on a separate timesheet or the bottom of a current one for the pay period for it to be paid out in. Please note that your anniversary date has been reached. Spring Updates

We hope everyone had a great holiday season. We made it through with flying colorsthanks to all of you! The weather held out (although a little rough in spots), and we were
able to tackle the commitments the Postal Service required of us. Think spring, it is around the corner!

    • Employee Survey–Last October we sent out an employee survey to all employees of Robert M. Neff & Dennis Truck Lines and 60% of you responded. Thank you! We have
      reviewed the results and are taking all of your suggestions and comments into consideration. We are making changes to correct some of our shortcomings and trying to exploit our attributes. Again, thank you for taking the time to complete the survey. It has not fallen on deaf ears. We appreciate every employee and what you bring to the team.
    • New Dispatcher Assignments – We have made a few changes to help with route planning and driver assignments. Each dispatcher is to be reaching out to their group of drivers on a weekly basis to see how you are doing. If you are not contacted by someone from dispatch each week, I want to know about it.
    • Terryis taking all of the Columbus drivers, Ryan is taking all of the Cincinnati, Memphis and Columbus Straight Truck Drivers and Bruce is taking Cleveland, Pennsylvania and West Virginia drivers.
      Each dispatcher is to plan and execute your route. If you have an issue when one of them is not here, it’s not a problem, we will still take care of you. This should help you and the company to stay up to date with what’s going on.
    • New Dispatcher–We want to welcome Ryan Wisecarver to the dispatch team. Ryan joined us a few months ago and is committed to helping us help you. If you talk to him on the phone or see him at the terminal, please introduce yourself.
    • New Speed limits in all parking areas We have established “geo fences” through Loadtrek that will flag any driver who is speeding at any parking area. We have set the necessary speed limit to 8 MPH for all company parking area’s and any postal facility. We have had numerous complaints about drivers moving too fast in an area, this should help us pin point the violators. Please Slow Down in any Parking area or Postal Facility!
    • Cassidy Avenue ForbiddenDrivers are no longer permitted to use Cassidy Avenue as a route of travel to the City Gate Postal Facility, please use Steltzer Road to Agler Road as your alternative route.
    • Driver Referrals– We have had several applications submitted based on driver referrals, THANK YOU for sending good candidates our way.

Over the past few months, we have been working to revamp our website to make it more user friendly and informative for our

Field Operations

I will be coming to your area of operations in the near future. If you need any supplies or have any problems/concerns, I will be there to address any issues you may have.

At the beginning of the year, we set a goal to achieve 90% or better on our LoadTrek optimization score.
That would reveal that our drivers were where they needed to be, when they needed to be there, 90% of the time.
The benchmark is a standard that the USPS would like it’s contractors to maintain throughout the duration of their service.
Starting out in 2016 Robert Neff Inc. had daily averages in the 50-70% range. At the end of Q1, we all have more experience with the LoadTrek system and our scores reflect that. We are proud to say that our scores are in the 80-90% range on a regular basis, and we achieved 100% on Wednesday 3/24/2016.
Ladies and gentlemen, we could not have done this without your effort and willingness to adapt to the ever changing demands of our clients.

Please remember that timesheets must be submitted on a separate sheet each week with the correct dates. If there are no dates listed on time sheets, they will be returned to you. All timesheets must be submitted via email or fax or returned to the Hebron Office or Columbus Office no later than 5PM of pay week. ALL TIME SHEETS MUST BE TURNED IN BY 5PM OF PAY WEEK. IF TIMESHEETS ARE NOT TURNED IN BY 5PM, YOU WILL NOT BE PAID. Employees are encouraged to submit their timesheets electronically. Contact Angela Smith at angela.smigh@rneffinc.com to participate in the electronic timesheet submission process. Late Slips must have your name included on them. No payment will be approved from the Post Office is there is not a name on the late slip. ! Thank you!

2015: A Year in Review

Here we are again, another year in the books and what a year it was! One thing is for sure, we made a lot of operational adjustments throughout the year. Let’s take a look:

  • January 2015 –The Postal Service decided to change the network around and make dual head out points on routes that had been round trips for decades. We were able to change our way of doing business and adapt to what the customer needed.
  • April 2015 – The Postal Service decided to take processing out of Toledo Ohio, causing us to lose a lane we had had since 1970. We were able to change our way of doing business & adapt to what the customer needed.
  • June 2015 – The Postal Service asked us to add service to three of our contracts with 24 & 48 hours’ notice. We were able to change our way of doing business & adapt to what the customer needed.
  • July 2015 – We added a Human Resources Consultant to the staff to organize an employee survey and help with employee benefits management. Once again changing our way of doing business and adapting to what the Employees needed.
  • August 2015 – We added a Field Operations and Trouble Shooting manager.
  • October 2015 –We welcomed Kuchenrither Trucking out of Cleveland, Ohio into the Berkheimer Family of businesses. We were able to change our way of doing business and adapt to what the Employees needed.
  • November 2015 – We began enrollment for new health insurance due to the Affordable Care Act. We were able to shop the market, change the way we were doing business and adapt to what the Employees needed.

December 2015 –We geared up for one of the busiest peak seasons in several years. We were able to make the necessary changes and perform the service the customer needed.

We hope you can see that our largest customer is making changes. CHANGE is inevitable. Looking back at 2015 we made a lot of changes, some popular, some not so popular, but in all we were able to work together to achieve success.Will there more changes in 2016? You bet! If we are going to continue to be the Elite Postal Carrier in the area, we have to be able to adapt to the customer needs.

Bottom line is this: we could not have accomplished all of this without YOU! We want to thank everyone for your hard work & dedication to the Company. We cannot do this without you. Here’s wishing all of you a Happy and Prosperous New Year!

In the near future, you will see changes to our website. We have been working to make the website more user-friendly for our applicant’s and employees. The newsletter, information regarding our healthcare benefits and other employee information will be posted on the website under the employee tab.


Drivers need to be sure and enter the trailer number being pulled into Loadtrek. Be sure to message when anything out of the ordinary happens on your route (late slip, traffic, weather, etc.). Also, try going to your driving portal to view your routes at drivers.loadtrek.net/ – enter your user name and password, and the next several days should be posted.

A Message from Mike

If you are due to renew your driver’s license and/or DOT physical, make sure you give yourself plenty of time to do so. It is your responsibility to ensure that these items are current at all times. Also, if you receive a call from someone in the office, please return the call as soon as possible as we are often times reaching out to you to gather needed/updated information for your personnel file or payroll.

A Message from Mike

Thanks to you, our workplace-related injuries remained low in 2014 and, as you can see from the graph below, 2015 was a great year as well.

The majority of these injuries were minor. Please keep up the good work by following the safety rules. “Know your limitations and always think safety first!


Timesheets MUST be submitted on a SEPERATE sheet with the correct dates. Timesheets will be returned to you; otherwise you will not get paid until submitted correctly.

ALL TIMESHEETS MUST BE RETURNED TO THE HEBRON OFFICE OR COLUMBUS OFFICE no later than 5pm Monday of pay week. This does not mean turning them in late Monday night or Tuesday morning. PLEASE NOTE: If you run a regular job every week, it is highly recommended that you turn in your timesheets early. If there are changes to it, just contact me and I will change it for you. This way you can at least get a pay check.

Late Slips

Your name MUST be included on each late slip.   If I do not know who they belong to, then EXPECT NO PAYMENT IF APPROVED FROMTHE POST OFFICE.

REMINDER – all late slips WILL NOT BE PAID until the post office reviews and approves them for payment.
